Matdesign Bierviltjes B.V. ("Matdesign", "we") respects your privacy. This privacy policy explains which personal data we process when you use our website or order from us, why we do so and what rights you have.

We are the controller within the meaning of the General Data Protection Regulation (GDPR).

2. Which data do we process?

  • Contact details: name, email address and phone number.
  • Address details: delivery and billing address.
  • Company details: company name, Chamber of Commerce number, VAT number and website.
  • Order details: quantities, shape, printing, comments and the files you upload, such as logos and designs.
  • Correspondence: emails and other messages you send us.
  • Technical data: IP address and data needed to keep the website running securely (server logs).

3. What do we use your data for?

  • Processing and fulfilling your order, sample request or design request (performance of a contract).
  • Creating designs and digital proofs based on your files (performance of a contract).
  • Sending invoices and complying with our statutory tax retention obligation (legal obligation).
  • Contacting you about your request or order (performance of a contract or legitimate interest).
  • Securing and improving our website (legitimate interest).
  • With your consent: measuring how our website is used and tailoring and measuring advertisements (consent).

We do not make decisions based on automated processing and we never sell your data to third parties.

4. How long do we keep your data?

We do not keep your data longer than necessary. Data we need for our accounts, such as invoices, is kept for 7 years due to the statutory tax retention obligation. Requests that do not lead to an order are deleted no later than 2 years after the last contact.

5. Who do we share your data with?

We only share your data when this is necessary to fulfil your order or when the law requires us to, for example with:

  • our hosting and IT service providers (website and email);
  • carriers, such as PostNL and DHL, for delivery;
  • Google, via Google Tag Manager, for website statistics and advertising – only if you give your consent;
  • our bookkeeper or accountant.

Where necessary, we make agreements with these parties about protecting your data. If data is processed outside the European Economic Area, we ensure appropriate safeguards, such as the European Commission's standard contractual clauses.

6. Cookies

Our website uses functional cookies that are needed for the website to work: a session cookie, a security cookie for forms and cookies that remember your language choice and your cookie preferences. No consent is required for these.

Only with your consent do we also place, via Google Tag Manager:

  • analytics cookies, to measure how the website is used and improve it;
  • marketing cookies, to tailor advertisements and measure their results.

These cookies are placed by Google. Data may be transferred to the United States; Google is certified for this under the EU-US Data Privacy Framework. You can change or withdraw your choice at any time via "Cookie settings" at the bottom of every page.

7. Security

We take appropriate technical and organisational measures to protect your data against loss and unlawful processing, such as a secure (HTTPS) connection and restricted access to data.

8. Your rights

You have the right to access, rectify and erase your data, to restrict processing, to data portability and to object. Send your request to [email protected]. We will respond within one month. To prevent misuse, we may ask you to identify yourself.

9. Complaints

Do you have a complaint about how we process your data? Please contact us first. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl) or the supervisory authority in your own country.
